Review is for the current state of management for wedding receptions at the ballroom after Brooke in events/catering went on maternity leave:
We just spent $40000 on wedding recept...
ion which included $3000 for 3 rooms for two nights. We guaranteed a 10 room block on 3rd floor to cover noise ordinance to allow the wedding to go past 9pm to 11 pm. We were able to book a 18 total rooms for the wedding weekend easily filling our 3rd floor block and then some. So our room revenue generated was an additional $6700. This doesn’t include all of the people eating at the restaurant/bar. I assume overall we were a $50 to $55k source of revenue for the company. We had a seated dinner, cocktail hour and the wine and beer package that was about $150 pp with 196 attending. Not a small reception.
Here are my issues:
The booking system is archaic. They failed to book both nights for 5 of my friends who realized that the week before. We were able to remedy it. They had different rates for Saturday night for the wedding block. You couldn’t just call and say you are coming to the wedding and get a discount for both nights. A couple of people were allowed to book Saturday night only. Others were told it was a two night minimum. Total confusion to try to keep track of what guests had booked at our venue. To book a Saturday night wedding block , guests have to call up and tell the details of the wedding to the desk person. They cannot book online. If they call and book two nights, they risk their Friday night reservation disappearing. Many had to deal with oddities. I finally went to a conspiracy theory thought.
After Brooke went on maternity leave at the beginning of July, we were given a remote worker to do all further communications. She worked hard but she wasn’t Brooke who is on site and knows the venue. This caused more emails back and forth and more work for our planner who had done several weddings at the venue.
We gave our floor plan by email 5 days before with a final head count as per contract requirements. On Friday night while i was at the rehearsal dinner the remote worker emailed my planner that we had a $300 charge to change out tables to adjust for the late seating plan. My planner was able to show she sent the new floor plan in an email five days prior that remote worker responded. In that email and another she asked who was the on site day of venue person. No reply. Then finally she said Laura. She emailed Laura directly despite Laura being copied. No response. Then Thursday they said this person would be Johnnie or Johnny. Apparently, my planner saw johnny at the reception but I never met Johnny or Laura. I only met Michael the food manager after I had an issue with two guests with shellfish allergies being served shellfish.
When I received my salad, i looked to the two people with shellfish allergies and saw they had the same problematic salad. I sprang into action alerting one who was eating hers. The other guest was not at her seat so I found her and alerted her we were replacing her salad That distracted me from enjoying my dinner. We wrote in the names and table numbers of the two guests with shellfish allergies (anchovies can be a problem).
Those are the annoying issues I had that I can remember. They have communication issues. No one really seems to have that willingness to be the on-site problem solver.
The reception was amazing overall thanks to excellent selections in planner, band and other vendors. The high points were the friendly bartender and a waitress named Joanna who was our server earlier that day in the brasserie.
The food was amazing. The ballroom is lovely. Because it is one large room, it is easy to keep guests entertained and on the dance floor.
I am thrilled things went as fabulously as they did. But the chaos of a remote worker contact and poor communication mean more work for our planner. Also, I have seen in a review where a smaller wedding party was given the Washington suite for one night to do makeup and pictures. Despite our revenue generation. No one offered that. My Daughter got dressed in my room. I would have been happy to pay for the Washington suite for one night. I guess we weren’t that important.
Lastly, I sent the hotel manager a post mortem with these details and got the automatic out of office with limited access to internet reply.
My other thought, is there was no separate email with a heartfelt thank you from anyone. We were pleasant and I only melted down one time with the sweet lady behind the desk. I worked things out with her and said please tell them to get a better registration system
All I wanted was a genuine thank you and a chance to speak in person to someone who would listen to what all was chaotic. I also wanted to recognize the standouts . Oh well. I have now decided to post my
