1. I have received the e-vite and would like to attend the wedding. How can I book my trip?
Each wedding group is assigned to a Sunwing Weddings Travel Account Manager. Guests will receive a “Save the Date” email invitation from the Sunwing Weddings Travel Account Manager outlining the deposit and final payment deadlines, a link to the booking form, and their contact information.
If you have any questions, please e-mail your Travel Account Manager, or call our toll-free phone number at 1-888-252-5436. Our phone lines are answered Monday to Friday 9 a.m. to 6 p.m. EST, excluding holidays. Our entire Sunwing Weddings Team is here to assist you with your questions, including the Sunwing Weddings Travel Account Manager.
To start your booking, guests are asked to complete the secure on-line booking form or send their booking information by e-mail. For security reasons, please do not send your credit card number in writing.
To secure your booking, a non-refundable/non-transferrable deposit of $150 per person is required. If purchasing insurance, the non-refundable insurance cost will be due at the time of your initial booking.
Your booking request will be confirmed, based upon availability once the payment is processed successfully. An automated response e-mail will be sent if we receive your on-line booking form. Please allow up to 10 business days for processing.
A confirmation e-mail will be sent once the booking information has been processed.
The final payment due date is listed on the e-vite. Guests can make partial payments until the final payment due date.
When booking with Sunwing Weddings, the wedding couple has assumed responsibility as the Group Leaders. Any major changes to the booking can only be made through the Group Leaders.
2. I emailed and/or left a voicemail for my Travel Account Manager, when will I hear back from them?
Due to a very high volume of requests, please allow a 24–48-hour response time from your Travel Account Manager/ Sunwing Weddings Team. For rate requests, etc. please allow an additional 24-48 hours as these requests often need to be sent to other departments. Kindly note our office is closed on the weekends.
To receive a response from your Travel Account Manager, please reference the booking number and/or wedding couple’s full names in all email subjects and/or voicemails.
3. Will I receive a receipt for the deposit and/or final payment charge?
Once your booking information has been processed, you will receive a confirmation by e-mail. Please review your information carefully to ensure it is accurate.
4. Do I have to provide names and dates of birth as per my passport?
Yes. We require full names as per your passports along with your date of birth. Please make sure all names are exactly as they appear on your passports and dates of birth are in the correct format: DAY/MONTH/YEAR.
5. Do I need a valid passport to travel?
Yes. All passengers will require a valid passport to travel, including infants. It is solely the responsibility of each passenger to ensure that you have valid and proper travel documentation.
Sunwing Weddings does not ask for passport numbers before airport/web check-in.
The passport should be valid until a week after your planned return date to Canada. It is recommended that your passport is valid for 6 months after your planned return to Canada.
6. What are the entry requirements of the country I am travelling to?

7. Do you accept cash or an electronic funds transfer/e-mail transfer?
No, only credit card payments are accepted. Please do not send any credit card information by e-mail.
8. Can I use multiple credit cards to make payments?
Yes, you can provide multiple credit card numbers for payment. If you are paying for another guest, please either call or send an e-mail to your travel planner.
9. Do you allow for payment installments/partial payments?
Yes, there are options to make payments as often as you would like. Please ask the Sunwing Weddings Team to send you the instructions to make an on-line payment on the Sunwing website.
10. What types of insurance options do you offer?
Sunwing offers four types of insurance for purchase. Insurance must be added within 48 hours business hours of receiving your booking confirmation by e-mail.
The four types of insurance Sunwing offers for purchase are below:
1. Worry Free Cancellation Waiver: $69 per person
2. Worry Free Plus: $119 per person
3. Manulife Medical Insurance with Worry Free Cancellation Waiver: $119 per person (1 week for guests 0-74 years old)
4. Manulife Medical Insurance with Worry Free Plus: $169 per person (1 week for guests 0-74 years old)
11. What are the cancellation penalties?
The cancellation penalties are below:
• Up to and including 60 days prior to departure the deposit is non-refundable.
• 59 to 21 days prior to departure 50% of total price is non-refundable.
• 20 days until departure 100% of total price is non-refundable.
12. Can I add my middle name after I have submitted my travel booking form?
Yes you can add a middle name to your booking. The name correction fees are below:
Name Correction (Corrections of less than 3 letters. First or last name that can include legal name, married last name or addition of middle name)
• 89 to 60 days prior to departure, free of charge
• 59 to 21 days prior to departure, $25 per person, per name correction
Correcting a name includes:
• A first or last name correction involving less than 3 characters
• A legal name change
• A name change due to a change in marital status
• A missing name detail such as middle name
Name corrections will incur a fee if made at the airport.
13. Can I change a name on my reservation?
Yes a name can be changed on the booking. The name change fees are below:
Name Change (A first or last name correction involving 3 or more characters)
• 89 to 60 days prior to departure, $150 per change per person
• 59 to 21 days prior to departure, $300 per change per person
• 7 days or less to departure, full cancellation penalties apply.
Changing all names on a file constitutes a cancellation, regardless of when the changes are requested
14. Can I make a change/modify my booking reservation? Is it possible to change the airport I am departing from? Can I change the room category I have booked?

Prices per original group quote will apply if available (or a new quote will be required at time of change). In addition, fees will apply at:
• 89 to 60 days prior to departure, $150 per change per person
• 59 to 21 days prior to departure, $300 per change per person
• 20 days or less before travel commences and thereafter, a change to travel date, departure or arrival airport, or hotel is considered a cancellation and full cancellation fees apply.
15. What if I can’t come for a full week or want to leave on a different day?
Your Travel Account Manager/ Sunwing Weddings Team will be able to provide you with rates for different departure dates and durations subject to flight schedules and availability.
If there is an expiration date on the quote, please note that a deposit must be placed for that room by the expiration date given in order to secure the room and rate.
Additionally, a rate that is supplied by your Travel Account Manager/ Sunwing Weddings Team is a quote only and does not guarantee reservation. A written confirmation to the Travel Account Manager/ Sunwing Weddings Team must be sent to make a new reservation or a change to an existing reservation.
16. If I decide to make a separate booking reservation for the flight, hotel or airport transportation, will I receive a refund?

17. Can I make special requests regarding room location, bedding, etc. at the hotel?
We can make special requests (bedding, room location etc.) with the hotel however please note that these are never guaranteed. Requests will be subject to availability upon arrival and at the hotel’s discretion. We do suggest that you reiterate this request upon arrival directly with the hotel.
18. I am a wedding guest and I would like to bring a date/plus one, but I do not know who that will be yet. Can I place a deposit up front and add the name later? OR can I book as a single occupant and add them to my room later?
Yes. Guests can place early deposits for a TBA guest (their travelling companion) to be added later on. Please note however that if they decide they do not want to bring a guest the deposit is non-refundable and non-transferable to existing passengers.
If a current single occupant adds a guest later on, they can request a new rate for the additional guest and the rate for the existing passenger will change to the original double occupancy rate from the time that they booked.
The new guest will be subject to current rates and availability at the time of booking. Insurance can only be purchased for travellers whose names are provided.
19. If I need to cancel, can I use my deposit to pay for the balance of another guest’s trip?
No. Deposits are non-refundable and non-transferable to existing passengers on file.
20. Can I pay with Air Miles, Avion, Scene, Aeroplan, Bonvoy, hotel points or my credit card travel points?
Please contact the reward program directly for more information.
21. Will Sunwing price match the individual online rates if we find a better price online at a later date?
Kindly note that individual rates are not indicative of group pricing and we are unable to match the online rates. It is not recommended to book a wedding group individually as you will need to ensure that the hotel has enough availability for your entire group.
For example, that rate online might only be available for 2 people and the price would go up again. There is no way of knowing when the prices will change online as they are constantly fluctuating.
By booking as a group the air space and hotel rooms are secured for all guests and you are given more time to provide payment information. The rates will also remain the same for all guests.
The group rates you received at the time your group was contracted were the best available. Rates online are for individual reservations based on current availability and not for larger groups. We are not able to compare prices from earlier in the year to prices online at a later date as the rates are subject to change at any time.
The rates are significantly less than the online rates at the time you confirmed the group. Once a booking is contracted, those rates are final. If new guests wish to book individually online, you are welcome to do so but keep in mind they will not count towards the group.
22. Does Sunwing offer Price Drop Guarantees? What if my rate decreases?
If you notice that the rates are significantly lower online, the Group Leaders may request a price drop check from your Travel Account Manager. The Group Leaders will advise the current Sunwing group rates and availability. Should there be enough space in our system to re-book the entire group at the current group rates for the exact same room categories/duration/gateways for the entire booking, we can offer a one-time price adjustment on your group rates outside of 90 days prior to departure.
The current rates can be found on the sunwing.ca website. The Price Drop Guarantee is not applicable to group rates from another tour operator or travel agency.
All previous promotions, including but not limited to the Instant Group Savings promotion and any extras for the wedding couple will be null and void if the Price Drop Guarantee rates are applied.
Should space be reserved from multiple departure cities, a price adjustment must apply for all gateways included in the group and cannot be for only one particular gateway. If applicable, maximum reduction of $200 CAD per adult and $100 CAD per child applies. The Price Drop Guarantee is applicable to the group booking, in its entirety i.e., if the entire group booking does not qualify, the Price Drop will not be applicable. Our price guarantee is not applicable to land only, air only, Florida, Las Vegas or Europe, or bookings made with special hotel contract conditions.
The current group rates must be lower for every passenger who has booked a package with the wedding group.
Please note any rate reductions are applicable only for your confirmed booking. The Price Drop Guarantee is not applicable for any changes to a room category, occupancy, duration, date or gateway. This means that you cannot make a change to your current booking in order to get a lower price for another room category, room category, occupancy, duration, date or gateway. Price drops can only be requested by the Group Leaders. A minimum of 10 paying travellers will be required for a Price Drop Guarantee to be requested.
Additional terms and conditions will be advised to the Group Leaders.
If a rate reduction is applicable, the group will be notified once it has been completed.
23. When will flight times be available?
Flight times are released approximately 4-6 months prior to departure. Please note that all flight times, schedules, airlines and type of aircraft, as well as itineraries, are subject to change with or without prior notice, up to and including the day of departure. 24. What is the baggage allowance on the flight?

25. When do we receive our e-documents?
E-documents will be available approximately 28 days prior to departure. Please note that e-documents will not be released until all reservations on file have been paid in full. Your Travel Account Manager will provide a link when your e-documents are available in which you can retrieve your e-documents, purchase seat selection, etc.
26. Are there any additional taxes/fees to be paid for my vacation?
Local Departure Taxes are not included in the rates quoted. If applicable, travellers must pay locally upon departure from destination. Payment of local departure taxes are the responsibility of the traveller.
Taxes are per person and are paid locally in cash upon departure at the airport. Cost is subject to change without notice. The following countries have local departure taxes to be paid when leaving the country:
For passengers travelling to Cancun, Riviera Cancun, Riviera Maya, and Cozumel, Mexico, there are two taxes collected in addition to the rate for your vacation.
Effective Apr.1,2021, the state of Quintana Roo (which includes Cancun, Riviera Cancun, Riviera Maya, and Cozumel) will be requiring all international travelers over the age of 14 to pay a tourism usage fee (tax) of 259.00 Mexican pesos (approximately $20 CAD per person depending on the current exchange rate).
The payment can be made prior to travel, upon arrival or during the stay, as the tax will be imposed upon departure. Travelers have the option to access http://visitax.gob.mx/, where they can complete a brief questionnaire and make the payment in advance of or during their visit.
The Tourism tax can also be paid at the Cancun airport.
A receipt will be provided which must be shown at the airport prior to boarding their flight home.
There is an Environmental Sanitation Tax collected upon hotel check-in. Environmental Sanitation Tax is approximately $79 MXN Pesos per room per night (approximately $3.87 USD per room per night or $5.40 CAD per room per night pending exchange rate. The tax is payable locally directly to the hotel upon hotel check-in. Rates are subject to change.
27. Can I pre-book excursions with Sunwing?
