What dates to book your stay for

The Wedding ceremony & dinner reception will be on Saturday 11/9. A Guest Welcome event is planned for late-afternoon on Thursday 11/7. Pat, Chloe & the wedding party will be arriving on Tuesday 11/5 and departing on Monday 11/11. So it would work well for most guests to arrive by Thursday morning 11/7 and depart on Sunday 11/10 or Monday 11/11. But everyone is welcome to come earlier in the week or whatever arrival/departure dates work best for you. Note there is a 3-night minimum stay for our group rates to apply.

How to book rooms

. Please book rooms through the Destination Weddings link below and do not book on other travel websites. Destination Weddings will handle registering everyone who plans to attend the wedding and book your hotel room(s). Only the rooms booked through Destination Weddings become part of the guest list to be includeded for Ceremony, Reception & other events. The group rates they have negotiated with Hard Rock include round-trip transportation between Cancun Airport and Hard Rock - Riviera Maya resort. Booking a Room (or just looking at the Room Types & Pricing): Go to: www.DestinationWeddings.com To register for the wedding, click "Attend Wedding" in the Top/Right corner of Screen. Then near the Center/Left of the screen, click "Find Wedding". You will need to enter either of the couple's last name (Botonis or Ries) and the Passcode is: ChloePat2024 After a short wait, the system will ask you for Your Email address, a Password you want to use next time, and your Telephone number. You will then be Registered on the wedding site and can view various information, contact our agent for questions or book a room. When you are ready to book a room or just want to see the rooms for pricing and not book yet... On the initial entry page or in the "Ready to book" page later, you will select your Arrival and Departure dates, then total pricing for those days will appear. The rooms listed will say "HEAVEN" for the adult side and the ones that do not say Heaven are the family side. Just a minimum of $100 deposit is needed per room. You will need each person's name, as it appears on their passport, and birth dates. For friends sharing 1 room, just 1 person needs to do this deposit for now, select a 2 or 3 person room and indicate in the NOTES section the contact info for the other person(s). Destination Weddings will then contact each person, when it is time for their share of the balance. You could pay for the full cost of your room up front and be done with it. Or you can make multiple future payments. Hard-Rock will want 100% full-payment for the room by April 21, 2024 or they will release it back into general availability. Note: for those that select Destination-Weddings insurance, only 50% payment is due by April and 100% payment due by mid-August 2024. Their special payment arrangement with Hard-Rock. Note on Trip Insurance: It is strongly recommended that you have Trip Insurance for a trip that is so far out. Many things can come up between now & then. There are a variety of options for insurance, with a policy offered during the hotel booking web-site, policies on other third-party web-sites and even your premium credit cards. Insurance can be somewhat complicated, so read the Insurance information listed below. A warning for the Destination-Weddings web-site insurance, they will only provide you 'future travel credit' instead of actual refund if the trip is cancelled within the last 65 days of departure. So we recommend the AXS insurance vendor mentioned below as the better priced option & fully reimbursable.

How to book flights

Destination Weddings will NOT be involved with the flights. Everyone will decide which airline they want to use and book their own flights. *All travelers must have a valid passport* We plan on sharing information on some flights once we are within 12 months of the wedding date and they start publishing their flight schedules.

More details on rooms

We are told this resort often books up a year in advance, so we are really hoping as many of you as possible that plan to go, are able to reserve your room right away ! They are holding a block of rooms for us and will allocate more rooms as needed, but only while there is still availability. Additional Details: Hard-Rock Riviera Maya: The resort is split into 2 sections: Heaven (adult only side) and Hacienda (adult & family side). Any Adult can go to any part of the resort and use any of the amenities. It is only minors that cannot go to the Adult only side. If you would like to bring your kids to the resort, you would have to book on the Hacienda side of course. However, kids will not be able to attend the wedding ceremony or reception on the 9th. Please plan accordingly for child care and/or check with resort for kids club hours and other options. The typical room types are: * King room * 2 Double-beds room (these are Double-bed size, not Queens) * King Swim-Up room (ground floor, connected to a small shared pool) * King or 2 Double-ded Sky-Terrace room (on top floor, connected to a roof-top private patio) * 2-Bedroom Family Suites (these are actually just 2 Rooms with connecting doors. No additional living space, but great if have small children). Note: you could also book 2 rooms and in the NOTES request they are adjacent rooms, to be close to older children. Room rates are based on Double-Occupancy, approx $250 per adult per night, but varies slightly based on room type and total number of nights you book. Since the room rates include meals & drinks (All-Inclusive), there is not much savings by trying to put 3 or 4 adults in 1 room. 4 people might as well get 2 rooms, but if it is a group of 3 friends, a few of the room types will allow for 3 adults in a 2 Double-bed type room. The price for 1 person to book a private room is about the same price as 2 people, so best to keep it to 2 or 3 adults per room. For Children in your room, 3yo & under should be about $60 each for the entire stay. 4-12yo are around $450 each for total stay. Visit HardRockRivieraMaya to see all resort features. Hard Rock All Inclusive Resort in Riviera Maya (hardrockhotels.com) Note: When booking on Destination Weddings, be sure to include in the NOTES any requests you have for ground floor or wanting to be near friends or relatives rooms,. etc. In addition to NOTES, you can also contact the agent assigned to our group, Padmani King, who's contact info will be found in the web site.

Trip Cancellation Insurance Options

* Destination-Weddings offers a policy on their web-site: $95 per person (1 price, regardless of age or number of days). This is "Cancel For Any Reason" CFAR policy, which is great. You can cancel without any reason needed. And for using their insurance, you also have until August 2024 to pay in full. Just 50% needed by April-2024. Special arrangement with Hard-Rock. Policy also includes Emergency medical, Emergency evacuation and other benefits. But if you cancel in the last 65 days before the trip, this policy will only give you 1-year Credit with Destination-Weddings for potential future hotel stay. And you will have to get a 3rd party policy for your FLIGHTS, as they do not cover the FLIGHTS. Hotel only. This option will come up automatically when booking rooms and if you do not take it, you will get numerous warnings. So that is ok ! * AXA insurance: www.AXATravelInsurance.com Note: sign up right away or within 14 days of your hotel booking to get full benefits. Pricing is based on the amount to insure and the person's age. Insure the full-cost of the hotel now, even if you only paid the $100 deposit. This date counts as your booking date ! Note: you will come back in the future to add the cost of your airfare to this same policy. Their Silver policy is the least expensive and it allows you to add the Airfare cost later. 30 yo person with $1000 hotel cost (about 4 days) is only $30. No option for CFAR. 60 yo couple with $2000 hotel cost (about 4 days) is $109. No option for CFAR. Includes Trip Cancellation, Trip Interruption, $25K medical emergency and $100K medical evacuation Their Platinum policy is their highest cost, but it has the CFAR option. It also allows for Airfare added later. 30 yo person with $1000 hotel cost (about 4 days) is $ 67 + $ 56 option for CFAR. 60 yo couple with $2000 hotel cost (about 4 days) is $176 + $111 option for CFAR. Includes Trip Cancellation, Trip Interruption, $250K medical emergency and $1 M medical evacuation You would want to buy this policy right away or within 14 days of booking your room, to get full benefits coverage, like "pre-existing medical conditions". And you can cancel right up to the day/moment of travel with actual refund, not credit. Without CFAR, cancelling has to be for some UNFORESEEN reason (medical, injury, airline cancellations, etc) for someone traveling with you or not traveling with you, like close family. . This is fairly typical and includes a wide range of unforeseen reasons. * AEGIS insurance: www.GoReadyInsurance.com Note: sign up right away or within 14 days of your hotel booking to get full benefits. Pricing is based on amount to insure and person's age. Insure the full-cost of the hotel now, even if you only paid the $100 deposit. This date counts as your booking date ! Note: you will come back in the future to add the cost of your airfare to this same policy. Multiple policy options will be provided. Select the "Pandemic Plus" policy as it allows you to add the Airfare cost. Examples: 30 yo single-person with $1000 hotel cost (about 4 days) is $39 + $20 option for CFAR (Cancel For Any Reason). 60 yo couple with $2000 hotel cost (about 4 days) is $162 + $80 option for CFAF (Cancel For Any Reason). Includes Trip Cancellation, Trip Interruption, $50K medical emergency and $500K medical evacuation You will want to buy this policy right away or within 14 days of booking your room, to get full benefits coverage, like "pre-existing medical conditions". And you can cancel right up to the day/moment of travel with actual refund, not credit. * Premium Credit Cards: Chase Sapphire, American Express Platinum and other premium credit cards can provide trip insurance. You could check with your credit card provider to see if your card provides trip insurance and what their benefits would be. But with low cost of 3rd party policies, it is good to be sure the Hotel & Airfare is covered for unforeseen reasons.
