Group booking subject to Romantic Planet Vacations and Sunwing Vacations terms and conditions.

Non-refundable deposits are required to hold a reservation and will vary by product.

Please take note of the deposit requirements and Mexico entry requirements prior to submitting your booking.

All travellers are responsible for meeting the entry requirements of the country they are visiting, and are required to have a valid Canadian passport that does not expire until at least one month after your travel dates.

If you are submitting your booking without a valid Canadian passport, it is the travellers responsibility to ensure you have your new passport at the time of travel. Romantic Planet Vacations is not responsible for delays of passenger obtaining their new passport, where cancellation may occur at cancellation penalties, due to not meeting travel requirements.

Cancellation fees, when cancellation is made:

Up to and including 80 days prior to departure - loss of deposit.

41-79 days prior to departure - 50% of the total travel cost.

40 days or less before travel commences and thereafter - 100% of the total travel cost.

All changes and cancellations must be made IN WRITING to your designated travel agent BEFORE the deadline listed above.

When the cancellation changes the occupancy of another booked guest, the remaining guest will be repriced at the time of the cancellation.

The non-refundable amount to be paid will be advised at the time of booking and is available on your invoice once your booking has been made. Portions of your vacation may be non-refundable such as excursions, transfers, flights, accommodation options, room upgrades, late check-out, theme park tickets and airport parking. We reserve the right to charge any additional change or cancellation fees charged by a supplier. Please note that all departure taxes and travel related fees are non-refundable.

Refunds will not be issued for bookings cancelled by you or Sunwing/Sunwing Vacations resulting from an act of God or an Event of Force Majeure.

Booking Modification:

80 days and more prior to departure, $200 per change per person will apply + any change fees by Sunwing

41 - 79 days prior to departure, $300 per change per person will apply + any change fees by Sunwing.

40 days or less before travel commences and thereafter, a change to travel date, departure or arrival airport, or hotel is considered a cancellation and full cancellation penalties apply.

Name corrections and name changes:

A valid name correction or name change includes one of the following:

a legal name change,

a married name change,

a typo in the name made by the customer when booking submitted,

a missing name detail such as a middle name.

Applicable fees for name corrections or name changes are as follows:

80 days or more before departure, a $150 fee on the booking applies per change***.

41-79 days before departure, a $300 fee on the booking applies per change***.

40 days or less before departure, any change is considered a cancellation and full cancellation fees apply.

Changes to room occupancy:

Changes to hotel room occupancy are considered a cancellation and rebooking by our hotel suppliers; therefore, pricing at the time of the occupancy change will apply to all occupants of the room and may incur an additional change fee of $150 per person. If an occupant in a room cancels, that person will be subject to cancellation fees at the time of their cancellation, and the remaining occupant will be repriced at new occupancy rates at that time. An additional occupant to the room, if allowed by the tour operator and resort, will be subject to system pricing at that time. In both cases, remaining room occupants will be subject to new pricing as follows:

If the new price per person is lower, existing occupants will be refunded the difference less the change fee.

If the new price per person is higher, existing occupants will have to pay the difference and the change fee will be waived.

No changes are allowed at 40 days or less to departure.

All costs for entry and exit fees, entry visas, passports, health certificates and items of a personal nature (e.g. laundry and dry cleaning, some à la carte restaurants, meals and alcoholic beverages not mentioned in itineraries, casino, medical services, excursions, telephone calls, internet access, faxes, spa and salon services, safe, mini-bar, tips, onboard gratuities/tips and certain baggage charges, etc.) are not included in the price of your vacation package.

If you are travelling on another airline other than Sunwing Airlines, different policies and terms and conditions may apply.

Hotel Room:

You are guaranteed the room category for which you have booked and paid for however, sometimes hotels over-sell themselves. In this event, they will upgrade you complimentary to their next available room category. It is also very important to note that room requests, such as bed configuration (king or double) adjoining rooms and location of the room will be submitted to the hotel on your behalf but are NOT guaranteed. These are allocated by the hotel upon check-in. Any and all hotel-related issues MUST be addressed with hotel management directly at the time of their occurrence as most often we can not assist with resolving such matters after your return and after the occurrence and especially if you did not bring it to their attention at the time. They are best equipped to satisfy your needs while you are there.

Deposits:

Deposit is required at time of booking. This confirms your spot in the group, and you are considered a confirmed attending guest. Deposits are 100% non-refundable, non-transferrable and are required to hold space. If you are unable to attend the wedding you need to notify Romantic Planet Vacations immediately, so that we can remove you from the manifest, and open it up for another guest. Your deposit is non -refundable and non-transferrable. Failure to advise us that you are unable to attend, will result in a cancellation penalty of 50% up to 100% of your total invoice.

Final Payment:

Final payment is due on the date indicated on your invoice. Any passengers who have not paid in full by this date can be cancelled without notice. It is your responsibility to pay your remainder on time. We reserve the right to cancel group space if you fail to comply with the payment schedule or other requirements outlined in this agreement. Penalties as outlined in this contract would apply.

All payments must be received in the group before any travel documents can be released. Failure to pay by this date could result in cancellation of your booking. You are welcome to make additional payments between the deposit and final payment dates if you wish.

NO CHANGES permitted for confirmed passengers 7 DAYS prior to FINAL payment

Discounts, Gift Certificates, Points, Air rewards, Airline status: cannot be used or applied towards group bookings as payment.

Tickets / Documents:

No tickets will be released until Romantic Planet Vacations and the tour operator has received all payments for the group.

Travel Insurance Rates:

Insurance packages are available directly at Manulife Insurance.

Insurance policies with a cancellation component must be purchased within 72 hours of your booking confirmed, initial deposit processed.

Some cancellation policies must be purchased at the time of the initial travel booking confirmed. Please be sure to read the policy details of what is covered, and included.

Group Rates:

Group rates are only valid with a minimum of 12 passengers and 6 rooms, departing on the same date and traveling to the same destination and/or returning on the same date from the same destination. If the group falls below 12, the rates will revert back to brochure rates and all passengers will be required to pay the difference.

Prices:

Prices are only valid for those seats originally booked. Any additional passengers are subject to current fares & taxes and availability. Prices are guaranteed for the passengers who are under deposit and appear on the contract/manifest. Passengers adding on to the group thereafter may be subject to increases for matters over which The Tour Operator / Romantic Planet Vacations has no control, including, but not limited to availability, fuel surcharges, government taxes and currency fluctuations.

Infants:

Please note that although infants (under the age of 24 months during the full duration of travel dates) may be no charge, they may still have to pay for the tourist card applicable to your destination, and this may be due at time of booking, time of final payment or upon arrival in your destination. This cost is different at each location. Please note on your documents once you receive them, what your cost will be upon arrival.

Taxes:

Taxes are subject to change for additional packages above the on hold packages for the group.

Seat Selection:

There is an additional charge for seat selection and upgrades where available. Please contact Tracy for details.

Group space is allocated near the rear of the aircraft, assigned by the tour operator. It is not guaranteed that you are seated with who you are booked with.

Please note, the airline reserves the right to adjust the seat numbers reserved in the case of an aircraft type change or routing change. Romantic Planet Vacations cannot be held liable for any changes made by the airline to seat numbers or seating arrangements made with advance seat selection.

Baggage Allowance: Please note Sunwing Vacations new baggage policies and fees - $25 additional cost for carry on bags, per flight.

Arrangements for excess baggage or sporting equipment must be made in advance of travel due to aircraft limitations. Sporting equipment baggage is an addition fee for airline, and may be an additional fee for ground transportation.

Failure to confirm these requirements in advance may result in refusal by the air carrier at the airport.

Downgrades:

Although many companies advertise “one time price downgrade”, these come with specific criteria such as; must be the exact same package (dates, flights, rooms), must be at least 90 days prior to departure, must be available for all existing guests to rebook the entire group. Please know that you have received the lowest possible price at the time of booking, and it is almost impossible to get an entire group on a last minute seat sale in the unlikely event that the rate drops close to your departure date. If a Price Downgrade is permitted by the Travel Supplier, your booking would be cancelled and Subject to full loss of deposit and rebooked at the new rates. Maximum reduction of $200/adult and $100/child

Upgrades

Upgrades on rooms may be permitted, however on request, and at an additional cost. Based on availability. Please contact Tracy.

Sold Out / Stop Sell:

In stop-sell situations, the tour operators reserve the right to request names prior to the due dates if the hotel has been stop-sold. Failure to do so will result in non-availability for all rooms without names. Once a stop-sell is in effect, changes are NOT permitted

Unsold Group Space:

Romantic Planet Vacations and the Tour Operator reserve the right to retract any unsold group space, at anytime, should they require doing so.
