For The Vendors

Each vendor must present a copy of insurance 30 days prior to event(s), and can be emailed to sunsetridgefarmevents@gmail.com. Vendor and Caterer shall maintain Commercial General Liability Insurance including Host Liquor liability, in an amount not less than $1,000,000, combined Single Limit for Bodily Injury and Property Damage. Such Insurance shall name Sunset Ridge Farm Events as additional insured, and a certificate of insurance with an endorsement must be provided 30 days prior to the event(s). All vendors must adhere to the terms of our guidelines.


Client(s) catering company is responsible for the set-up, break-down and clean-up of the catered site. Vendor’s staff may not consume alcoholic beverages while on the property during an event(s).

EXTRA EVENT RELATED ITEMS SET UP ON PROPERTY:

Before any extra items can be brought onto the Sunset Ridge Farm property, and set up, permission must be granted by Venue owner, an insurance liability certificate be presented, and the plans of where and how to place any of these items must be approved by venue owner. These things include, but are not limited to event tents, and/or anything that is not already an existing structure on the property

ALCOHOL & BARTENDING :

The bar must be set up and served from the designated area at the reception assigned by Sunset Ridge Farm Events, which is located inside the reception facility, and cannot be served or stored at or from any other area including, but not limited to portable bars, etc. No one, including Bride, Groom, Bridal Party, Family, Friends etc. is allowed inside bar area. If someone is found in that area besides the bartender, caterer, or staff member, they will be ask to leave the area. The catering service or Bar Service, and its agent will exercise due care in serving alcoholic beverages, and will refuse service to any person appearing to be under the age of 21 or any person who appears to be intoxicated. Identification and proof of age will be requested from any person who appears to be under 21 years of age. The staff of Sunset Ridge Fame Events holds the rights to refuse alcohol to any persons whom they so choose at any given time, and will be monitoring the bar activity while bar is open. Alcoholic beverages will be removed from anyone believed to be a minor or from any intoxicated person. The catering service or its agent will provide all alcoholic beverages consumed in accordance with the laws and regulations of the State of Kentucky. The Client(s) agrees to fully cooperate and assist Sunset Ridge Farm Events, the catering service, and its agent in enforcing the laws of the State of Kentucky, and the policies of Sunset Ridge Farm Events, regarding the consumption of alcoholic beverages. An Alcohol Rider is required, and it should be included with the Liability Insurance purchased by Client(s). Any drink that includes alcohol, including beer, etc., must be served by an Insured Licensed Bartender or Caterer and must have a (STAR) Server Training in Alcohol Regulations Certificate which must be emailed to sunsetridgefarmevents@gmail.com 60 days prior to event date. Cash bars are not permitted. The bar tender must not be previously aquatinted personally with the bride, groom, family etc. Vendor’s staff may not consume alcoholic beverages while on the property during an event(s). The Bar closes 1 hour before reception has ended, and all alcoholic beverages will be removed from bar window and stored. No one will be allowed to access the alcohol after bar closes while the reception continues. THERE IS A NO SHOT POLICY! Kegs are not permitted. Illegal substances are not allowed at any time on the premises. Drunken/Violent disturbances are prohibited, and subject to immediate removal from the premises, and possible termination of the event without refund.

DELIVERY TRUCKS & CATERERS:

Sunset Ridge Farm Events will need to know the delivery dates and times of any rentals, caterers, etc., so we can direct them where to drop the rentals.

DAY OF COORDINATOR:

The coordinator is required to be at the rehearsal the day before to lead, and arrive on wedding day 30 minutes prior to the first vendor arrival (including hair & makeup), and continuing throughout the duration of ceremony until end of the reception. The coordinator cannot be the Bride or Groom, anyone in the Bridal Party, Bride or Groom’s Parents or Grand Parents, or close family members, or anyone that would be participating in the Ceremony or Reception. The person must be in charge of many things on your wedding day, therefore it must be someone qualified to handle a long day of responsibility, and not close family members or an intimate guest. This person will need to be in charge, and be available to be the liaison between all vendors, bridal party, or any participants of the events. The coordinator is not permitted to consume any alcohol anytime during this day. This person will need to be designated at least 90 days before the event date, and Sunset Ridge Farm will need their contact number 90 days prior to event date to discuss details of your wedding. If anytime during the rehearsal or the wedding day, Sunset Ridge Farm has to step in to make things happen, that is the coordinators responsibility, there will be a fee for the time spent by staff.

PARKING:

There are designated areas for parking. No parking anywhere else on the property. If damage is created by parking in non-parking areas, deductions will be taken from deposit, or if greater damage costs is beyond amount of said deposit, then the Client(s) will be charged accordingly. Upon arrival of persons on the day before the event, and day of the event (excluding guests that are arriving at ceremony time), they must unload their belongings at the barn or lodge immediately, and park in the designated area. There will be valet/shuttle services available at all times to transport them back to the barn or lodge. The allowed number of cars parked at lodge at one given time is 4, this is due to allowing emergency vehicles to come and go if necessary, and space allowance for vans to come and go from lodge for the weekend transportation. The venue will be fined by the state of Ky if these parking protocols are not followed, and these fines will be charge to you. Again, this is required due to keeping the barn and lodge area clear for shuttling guests to and from the Ceremony and Reception sites and emergency vehicles in needed.
