We worked with Leela and Vickie for about 18 months planning our wedding at Bull Valley Golf Club. The planning process was excellent. Both were responsive, organized, and kind thr...oughout. The venue itself is absolutely beautiful, and our guests commented all night about how stunning the grounds and atmosphere were.
Unfortunately, the rehearsal, wedding-day coordination, and follow-through did not reflect the same level of professionalism or care. I arrived about 20 minutes early for our scheduled 3:00 PM rehearsal, as instructed, but no one from the venue was there. I called multiple times with no answer and even emailed Leela, but she didn’t respond until 3:45 PM, which was already after our rehearsal was supposed to end. In that 3:45 PM email, Leela informed me that Julia was running late from her day job.
When Julia, the on-site coordinator, finally arrived, she was unprepared. The tables weren’t out, the mantle hadn’t been cleared for our flowers, and she had no idea about our Photo Booth or the tables required for it. I also had to go over a lot of of the things I already went over with Leela and Vickie such as timing of vendors arrivals and where I want the Photo Booth etc. I literally had to go through my emails with Leila and Vicki to share this information with Julia while I’m supposed to be doing my rehearsal the day before my wedding . She also failed to follow through on a simple, confirmed request to have White Claws placed in my room, and instead we were given High Noons. It was immediately clear that she had not been briefed on any of our plans or details, despite nearly two years of preparation. If we’re going to be spending $20,000 on a venue, you would think people that work at said venue would communicate with each other.
Even more concerning, one of our guests has severe peanut and spinach allergies, which we clearly communicated in advance. Despite this, she was served a salad containing both spinach and nuts. When I brought this to Julia’s attention, she acknowledged it but took no action to correct it. 6 Days later, her manager reached out by email and asked if I would be available for a call. I replied that I was available and had additional concerns to discuss, but it has now been over two weeks since our wedding and I still have not received a follow-up call.
We also experienced billing errors on our final invoice, where several items were accidentally charged twice and had to be corrected after we pointed them out. Additionally, the groom and groomsmen had to specifically ask for water bottles, even though we had already paid for them in advance. They were not initially provided.
Finally, I had asked how we would prevent any last-minute guests from seeing me right before walking down the aisle, since I was positioned near the elevator. Leela assured me that staff were upstairs directing guests to stay up there. However, moments later, a guest walked right past us, exactly what I had hoped to avoid.
While the venue’s setting is truly beautiful and we appreciated the staff who helped us during the planning process, the day-of coordination, allergy handling, billing accuracy, and overall communication were deeply disappointing. Again, everything was great until the day before and day of my wedding.
