At no point did Katy Gee Consultants nor the Clients communicate any increase in guest count or request additional rentals past 130. When our team arrived on site for setup, we quickly realized the venue had been arranged for 155 guests, meaning the guest count had increased by 25 without any update being communicated to our company. As a rental provider, we could have simply set the 130 place settings that were ordered and paid for. However, even though our office was already closed, our set team contacted the main office and we rushed to prepare and deliver an additional 25 place settings and centerpieces so the wedding could proceed smoothly. This was an accommodation we made despite the lack of communication from Katy Gee Consultants. A hired planner’s responsibility includes reviewing vendor orders against the final guest count, comparing them with the floor plan, and ensuring vendors have accurate information prior to the event. Unfortunately, that coordination did not occur in this situation, yet our company has been publicly accused of “dropping the ball.” Rather than placing blame on another vendor, accountability should be taken for the lack of planning and coordination. Katy Gee Consultants, as the hired planner, was responsible for reviewing the rental order against the final floor plan and communicating any increase in guest count to vendors. That did not happen. Our team also experienced delays during setup because Katy Gee Consultants did not have clear seating assignments for how many guests were to be seated at each table. Despite these challenges, our staff still went above and beyond to ensure that Katherine and Kyle’s event could move forward successfully. A lack of communication and fulfillment of planning responsibilities should not result in our mutual clients walking away with a negative perception of our company. We also made several attempts to get this company on a call to get a resolve, but we were refused the opportunity to speak.
