We hired Katie as our day-of coordinator and were extremely disappointed by her performance. In the weeks leading up to the wedding, she seemed organized and communicative, which g...ave us confidence. Unfortunately, on the actual day, her lack of preparation and coordination created unnecessary stress for us, our bridal party, and several vendors.
Arrival & Time Management
Our ceremony started at 5 p.m., but Katie chose to arrive at 2 p.m. at a large venue with multiple locations (treehouse, barn, woods, and reception area). On our initial call, she assured us she was familiar with the property, so we trusted her judgment. Later, she stated she “didn’t have enough time” to coordinate everything.
Communication & Coordination
Katie acknowledged at rehearsal that cell service at the venue was limited but never arranged a backup method (no walkie-talkies, check-ins, or assistant coverage). Because of this, vendors repeatedly came to me — the bride — with questions while I was getting ready. Her later explanation was that she walked 18,000 steps that day, which did not address the core issue of being unreachable and uncoordinated.
Rehearsal & Ceremony Execution
Katie promised to run a brief walkthrough for a bridesmaid who missed rehearsal, but this never occurred. On the wedding day, the officiant and cellist ended up setting up on their own, and at one point had to blow out candles that had been left burning unattended -- something other vendors voiced concern with.
Bridal Party Support
Food for the bridal party was provided onsite and ready to serve, but Katie did not check in. Two bridesmaids felt faint and were told by her to leave the property and “just DoorDash something,” This was disruptive, unnecessary, and showed a lack of awareness of what had already been arranged. She also admitted she “didn’t know” what to do for our tree-planting ceremony, leaving the bridal party to manage it themselves.
Details & Florals
I clearly outlined that boutonnières, corsages, and pocket squares were to be distributed before the first look. This did not happen. Katie later handed them to my bridesmaids and told them to “figure it out,” causing confusion and delay. This repeated pattern of missed details and lack of follow-through added significant stress to what should have been a smooth day.
End-of-Night Oversight
At the end of the night, her team signed off with the rental vendor but missed several chair covers left on the reception tables. We were later charged an additional cleanup fee as a result. Katie’s response was that chair covers are “not industry standard,” which doesn’t explain why they were overlooked. She only offered to split the cost after learning another vendor paid it.
After the Event
When I brought these issues to her attention afterward, she reframed them as “expectation mismatches” instead of taking accountability. This response came across as dismissive and unprofessional. Had she apologized, accepted responsibility, and offered a remedy, I would not have written this review.
A coordinator’s role is to manage communication, logistics, and timing so the couple can enjoy their day without worry. Instead, the lack of preparation and follow-through caused unnecessary stress for everyone involved. Several vendors and bridal party members independently expressed how disorganized the day felt.
Couples deserve a coordinator who is proactive, reliable, and detail-oriented. Unfortunately, that was not our experience with Katie.
