Regarding the DJ's arrival, as we agreed on at our final meeting, he was scheduled to arrive two hours prior to the start of the reception to set up. He actually arrived two and half hours earlier and unfortunately was not given access to the facility until an hour before the start, which may have contributed to the flustered demeanor you observed. We understand how this could have been disconcerting, and we apologize for any stress this caused. Regarding the first dance, our standard practice is to start speaking towards the very end of the song to prompt applause as the song concludes. We regret that this timing interfered with your special moment, and we will review our approach to ensure it better aligns with our clients' expectations in the future. For the bouquet toss and anniversary dance, unfortunately our DJ was never approached by the planner, since these were items on the timeline that we had gone over he decided to take upon himself to approach you to confirm your wishes. We apologize for any inconvenience and disappointment this may have caused as he was just trying to follow the lead of the planner. In terms of the music played during the reception, our equipment logs all songs played with a time stamp, and it indicates that most of the songs were from your request list. Any deviations were intended to transition smoothly between genres or types of music. We understand how important the song selection is and regret if this did not meet your expectations fully. As for the photo booth, none of our packages include an attendant since the booth is designed to operate independently. However, our delivery staff is always available to assist with any issues. The booth was booked for two hours, starting at 6 PM and running until 8 PM, as per your contract, which would be correct, as you said originally, that it was running for two hours until 8pm. And this was also relayed to the planner when our delivery staff arrived around 4:30pm to get it set up and in place. We truly take your feedback seriously and will use it to improve our services. t of our meetings I do apologize that the call we zoomed in on was not on camera and appreciate the feedback since we have since rectified this issue. As is our company policy, we delivered the generator in good working condition to ensure proper operation throughout your event after testing not only in our own facility but again on site. From time to time there is an issue with a generator cutting out based on the elements and conditions at the time that fall out of our control but our generators are set up so that they can start up with one pull if the proper steps are followed to do so. Upon delivery our staff went through those procedures with your event staff including having them do it themselves to ensure proper operation. We then tested the lighting, heater and all other elements that were plugged into the unit with no issues being present. When we were contacted by your event staff about the issues we did everything we could to guide them to rectify the problem over the phone as well as sending staff down immediately to check on it. Upon arrival it was discovered that the proper steps were not followed and generator had actually been damaged which is the reason it could not be restarted. After an onsite review of the unit it seems that someone had stepped on the wiring causing the damage. For the tent sides, you had reserved side walls and as part of your contract it says that if you specifically wanted windowed or solid walls that it must be requested. We had never received that request so our staff set up the sides in order to best accommodate for the glare of the sun and to ensure the heater, that was placed inside the tent, would be most effective. It is illegal to place a generator inside a tent and based on the inspection by the fire marshal the placement outside the tent was properly done and the propane tank secured but we thank you for informing us of the issue and will note it for future set ups. As far as set up goes, our charges were of normal industry standards as you were charged a fee for the tent and dance floor set up along with the fee for obtaining the permit. You never had ordered the set up of tables and chairs from us and we did not provide you with any napkins or linens. Also as part of your contract it states that any permitting is your responsibility but if our services are needed to complete that process all you had to do was request that we handle it. Upon your planners request we did and completed the process in time for the reception. Your tent was properly permitted and inspected to normal rental company standards. Overall we are sorry about the inconvenience of the generator going down and did everything we could to ensure you had a perfect day including the last minute changes that were requested as well as including a larger tent to accommodate the floor plan that was provided to us. This included myself which succumb to covid the week of your reception and is why we put our back up DJ in place. We did send out an email prior to the wedding informing you of the change but did not hear back so we thought that this wouldnt have been an issue and apologize for assuming so. hem six times by email, twice by text and once by phone to set up a final meeting to go over the details for her reception to which we received no response. We did not hear back from her or her husband until 9pm the night before the reception when they emailed us to inform us they dropped the ball on filling out their planner, indeed needed us for the ceremony and then submitted the wedding planner forms you mentioned above. Up until this point we did not have any information so we had to work all night to gather their music and didnt receive their final ceremony songs and spotify lists for dinner until after midnight that night when your son-in-law texted it to us. Knowing how important the ceremony plays in any reception part of our pre-booking process is we ask if our services are needed during the ceremony in order to determine if any additional equipment will be needed. When speaking with your son-in-law prior to booking he informed us that this was not going to be case and declined adding on the ceremony system to his package at that time. Once we did find out that our services were needed we explained that they would need the additional ceremony system and we verbally confirmed that the location was in the garden next to the Eolia Mansion (which we do know has power available to us since we have played at the mansion before) but unfortunately he actually meant the garden down by the water which does not. With no time to check in with the venue itself, as we do so with every venue that we perform ceremony services at, since it was the night before the reception, we only had the option to go off of the information provided to us by your son-in-law and daughter. Upon arrival at the venue two hours prior to the start of the reception we checked in with the venue director, as we always do, who informed us that the ceremony is down by the water and not in the garden next to the mansion. We immediately approached the groom, and his best man who was with him, to inform him of the situation and go over the options we have. After informing them the best man jumped on his phone and found that there was a home depot about 15mins away from the mansion. As I was trying to explain the options available the best man said he spoke with home depot and that they had a generator available which he was going to go and rent. I still got on the phone with our office and local network and upon locating a generator myself I approached your son in law and informed him that I could have one on its way in time for the ceremony. He told me his best man was already on his way to home depot and we should be all set to go. After hearing this I proceeded down to the ceremony site and fully set up the ceremony system that we promised, with mic stand at the alter, to only have the groom run down to us and tell us that the best man arrived at home depot and they in fact didnt have any generators left for rent. At this point it was about 20 mins to the start of the ceremony and I got back on my phone to see if my team could still get a generator to the site. We still could but upon informing your son-in-law he said it would arrive too late and that his best man was at best buy now purchasing a blue tooth speaker. When the best man arrived back ,about 45 mins after the ceremony was supposed to start, we transferred all the ceremony music via dropbox to him so that it could be played clearly throughout the ceremony, since he had the best service out of anyone at the water front between myself, you son in law and him, without any added issues and the mic stand was removed since it wouldnt serve any purpose at that point. After the ceremony you approached us during cocktail hour and for over 20 mins expressed your discontent about how everything turned out at the ceremony to which I tried to explain what happened. You told me that I was not hired to entertain but provide solutions to any problems that arise to which I responded that the only way to perform the services we were hired for was to have power provided to us as it was outlined in our contract they signed. I even expressed how sorry I was for the miscommunication and that I had already offered to refund your son in law and daughter the money we had charged them for the ceremony system as compensation. You stated that this wasnt good enough and that I would be owing you for the time and gas that the best man spent. Since the timeline we had put together the night before was completely off at this point I checked in regularly with your son in law as well as the best man to inform them of the time and to let me know when they wanted to start everything. Speeches were originally supposed to be out on the patio where we were set up so that the best man and maid of honor could have use of the mic during them but was changed when they were done during dinner inside the mansion. Had I been informed that the speeches were happening the music would have been turned off so that everyone could clearly hear and was the case when your son in law did let us know. Once dinner was completed we had the couple cut the cake, get introduced, do their first dance as well as their parent dances and even had your daughter toss her bouquet before we opened the dance floor to the rest of the guests. I did play several dance songs and when we had spoke the night before your son in law mentioned that the cotton eye joe was special to them since they heard it in their travels all over the world. With this knowledge I started the cotton eye joe and was approached by your son in law to stop the song and that they were going to be wrapping up the evening so we played through and started the song they picked as their final song of the evening. As it stands we have spoken with your daughter and son in law who indeed said they had a good time and even apologized for not contacting us sooner to go over the details.
