in contingency plan, the wedding reception of your dreams can easily become chaos and significantly impact the guest experience. When we toured Breaux, we were shown both the Cork & Key Room and the Barrel Room and were told that these spaces would serve as the rain plan for the cocktail hour for a wedding reception of our size. Because weather contingencies were important to us, I specifically brought up the Cork & Key and Barrel Room again during our final walkthrough several weeks before the wedding. A Breaux representative was present during that discussion, and we spent several minutes discussing with the caterer and coordinator how the space would be arranged and used if inclement weather became a concern. At no point during that conversation were we told that the Barrel Room would not be available to us.   One week before our Memorial Day weekend wedding, it became clear that cold and rainy weather was a distinct possibility. I again reached out to our Breaux representative, caterer, and coordinator to discuss the rain plan and specifically asked about the Cork & Key and Barrel Room. The Breaux representative indicated she was out of the office but would get back to me later in the week. It was not until three days before the wedding, when the forecast clearly showed cold and rainy conditions, that we were informed the Barrel Room could not be used and the Cork & Key could not accommodate our guest count.  The Breaux representative offered an alternative, the Club Room and adjoining covered patio, and we were assured that the space could accommodate all our guests and would provide a comfortable and enjoyable cocktail hour experience. On Saturday, temperatures continued to drop. I emailed again, at 6 am on the day of the wedding, and I was reassured that the Club Room and covered patio would comfortably accommodate our 136 guests and that 4 heaters would help keep guests comfortable outdoors.  Unfortunately, that was not our experience. Because the Club Room could not comfortably accommodate our guest count on its own, the covered patio became a significant part of the cocktail hour space. None of the heaters worked and even the bartender stationed outside was wearing a winter coat. Our guests included elderly family members, several infants, and many guests dressed for a spring wedding reception rather than extended time outdoors in cold rain. As cocktail hour progressed and it was obvious our guests were extremely cold, additional indoor space had to be opened on the other side of the property. While we appreciated the effort, it created a fragmented experience, with guests spread between multiple locations and catering and bar service not consistently available in each space. The most frustrating part is that this situation was avoidable. Had expectations been managed properly and had we been given accurate information about the Barrel Room, the actual limitations of the Club Room, and the functionality of the heaters, we would have chosen an entirely different rain plan. Adding to our frustration, we paid an additional $1,500 for use of Madeline's Patio, an outdoor cocktail-hour space that became unusable due to the weather. Although we never used that space and ultimately had to relocate cocktail hour elsewhere, Breaux declined to provide any refund. Weather is beyond anyone's control. Communication, planning, and expectation management are not. The venue itself is beautiful, but our experience left us disappointed in how the rain contingency plan was communicated and ultimately executed. Future couples should have detailed conversations about exactly which indoor spaces are guaranteed to be available and what the rain plan will realistically look like for their guest count.
