If you think things have changed at Hayes Mansion since the last 2022 review, think again. We had a truly awful experience with them before, during, and after our 2024 event. Brides should seriously reconsider using this venue for reasons summarized here.
First, planning was chaotic. We rotated through three different coordinators within a year, each unaware of the previous promises. The first coordinator (later revealed to be a sales rep) promised us a comped room rental for the rehearsal dinner and a waived cake cutting fee. Both were confirmed via email before the contract but later denied.
Afterward, the second coordinator apologized, conducted a site tour, and but would not help us to receive the promised waiving of room rental fee and cake cutting fee . Then, the third coordinator apologized profusely and waived the fees based on our email records and tried to adjust for additional miscommunications. We thought things were finally on track. Unfortunately, that was not the case.
On our wedding day, we were given the wrong suite, and when we finally received the promised room, the air conditioner was broken. The venue’s temporary solution was a portable AC which was noisy and cumbersome, making it impossible for photos or a relaxed environment. Worse, after the event, the room had an unbearable smell, an issue later admitted by the management as recurring but never disclosed. My guests reported the same smell throughout the lobby. Though Hayes comped us for the room, it didn’t make up for the impact getting ready on the day.
Bar and food services were disastrous. Signature drinks served in plastic cups (instead of glass) marred our photos, and Hayes ran out of ingredients for drinks mid-event. Despite a contract to switch to a cash bar when hitting our budget cap, they did not follow this as event Contract items did not popular to the banquet event order. Due to this, they couldn’t use the rented bar outside the ballroom as they did not run the wires for a cash bar (no tapless purchase options). Guests had to find their way to the restaurant bar upstairs—far from ideal.
For the wedding meal, staff approached guests as they had no idea what people ordered, even though they were provided with a seating chart with meal selections. This lead to confusion and even rudeness from staff, leaving my guests very upset. Tiramisu, which we’d tasted and approved, was served in 3 different shapes and looks, clearly improvised at the last minute. Additionally, French fries meant for a slider bar never appeared. Afterward, management’s excuse was that desserts and food items can vary in appearance, though they later acknowledged this was unacceptable.
When we met with the general manager, we requested they honor the bar agreement, adjust charges for missing fries, and reimburse the unused bar rental fee. Hayes initially waived some bar overages but still charged us tax and service fees, leaving us feeling very nickel and dimed. They also offered us a “free stay” on our anniversary, and when asked to convert this to a monetary discount on this bill, claimed that their rooms have no monetary value. After pressing, we received a reimbursement on the bar overages due to their mismanagement, the fries and bartender fees to comp for us not being able to use the bar we rented.
5.5 weeks post-event, we finally received the reimbursement. If you want to avoid this level of mismanagement and headache on your special day, take your business elsewhere!
Recently got married at Hayes Mansion, we used the Westwood Patio indoor & Orlo Room for cocktail hour and it was gorgeous. The main reasons why I would discourage any bride & groom to book this place is for a lot of reasons. Planning was a mess, honestly went through so many venue coordinators in the span of a year. It felt like we were being passed from one-person to another because their coordinators would end up quitting not even a month and they are gone. Communication is horrible, I had to reach out to them and follow up several times, very frustrating. We weren't offered any bridal suites during our stay, I had to actually ask, and it was too late for us to even book a bridal suite. There was another event going on the same night as ours and it felt like the service was so slow for our sit-down dinner portion. . If you don't want stress regarding communicating with their team, I would suggest finding another venue. The hotel is nice, only downside is the walls are quite thin, so you hear everything.
This is a beautiful property with lots of amazing photo spots and perks, like separate getting ready suites for the bride and groom, the lawn ceremony blending into the patio cocktail blending into the ballroom reception, and a bookable bar space for the after party, and included honeymoon suite. I wanted a venue that was a hotel for my guests, that had an outdoor ceremony and indoor reception, with enough space to not sweat the headcount so we could invite everyone we wanted from the 10+ years we had been together. Like another reviewer, I was discouraged from booking it due to minimum cost for the ballroom, but we booked it anyway. The customer service I received was abysmal in getting aid continuing to plan even details that required the property (like menu tastings, coordinating the cake, linens, chairs, etc.) and often my emails went unanswered. I had to ask repeatedly for their preferred vendor list! Covid made me postpone my summer 2020 wedding and when I started that process in early April 2020, I received pushback, that only weddings during the then-current lockdown (which, if you remember, kept getting extended indefinitely until the "safer economy" color tiered system was established, and I knew it wouldn't be better by summer and wanted to postpone sooner than later to get a good date) could postpone. Everyone I had previously worked with got furloughed, in addition to craziness with ownership change, so I kept getting bumped to new people to talk to, so I'm glad I kept communication in emails for a paper trail. I successfully postponed a year and waited. No one reached out to continue the planning process, or work with me for adjustments to the wedding with covid protocols (indoor/outdoor, size limits, vaccination/test verification, buffet --> plated meals, etc...I had booked a 300+ ballroom with a food and beverage minimum that dictated a larger-than-allowed headcount...). When it became clear we would need to cancel the 2021 date through force majeure 3 months before the new date, I found the previous person I had worked with left the property (I checked their linkedin) and no one new had reached out to introduce themselves; I had to go through the front desk to get to the new (current for many months) event coordinator. I was allowed to cancel under force majeure (California was banning all wedding receptions of any size, disallowing food and drink at wedding ceremonies) and told I would get my deposit back, but it took literally months of me reaching out weekly to even get half of it back. In contrast all my other much smaller vendors issued refunds or worked out a credit system (e.g. my photographer, we'll do a separate shoot with the deposit money) within days. Months later I am STILL trying to get the other half (over $13k, which they claim to have started a refund for) back with emails left unanswered from several staff. The short of it is: terrrrrrrrrible customer service. I think they are leaning on the desirability of the property and how desperate couples are with wedding planning to get away with it. But the wedding industry has been altered by covid and if they want to survive, they need to get their act together in the customer service department.
They worked with our last minute planning and we got more than we expected. So much is included in their package deal, and the staff was very friendly and helpful. We had many compliments from our guests that it was the most beautiful wedding they ever attended. Even the food was excellent. The preferred vendors were the perfect choice. Flower Divas did the most beautiful arrangements, we called around and no one was available to do our flowers with only 4 days notice without charging more, except Flower Divas. We explained our budget and the manager gave us tips to get the most bang for our buck. She did everything exactly as I asked. Everything else my fiance planned, because I was living in Washington. He did an amazing job, our cake was absolutely beautiful (included in the wedding package deal), but we got charged a little due to the custom design we chose, but only like 150.00 as opposed to thousands, totally worth it. I would definitely recommend this place. If I had to do it all over again I wouldn't change a thing.
My husband and I could not be happier with Hayes Mansion or the amazing people we worked with while planning our wedding. Jo Ann and Liberty were not only planners, but became our friends throughout the planning. The venue is beautiful and classic. They have a list of preferred vendors which made planning incredibly simple. Our wedding went off without a single problem. The staff the day of were attentive and helpful. I honestly could not have hoped for a more perfect day. My husband and I will most definitely be back just to visit.
I can't say enough good about Hayes Mansion. If you are looking for a beautiful venue with staff who are really there to help you, this is the place.
We fell in love with the Dolce Hayes Mansion and could not wait to get married there. The mansion is beautiful and the lawn is perfect for an outdoor wedding! Jo Ann Danna (venue coordinator) was such a pleasure to work with. She is fun and flexible and always has a smile on her face! The staff was great to work with on the day of the wedding as well. All of our guests enjoyed their stay there and loved the breakfast buffet the next morning! A few notes for brides: The ballroom carpet is ugly so keep lighting low. The ceilings in the ballroom are tall so you may need tall centerpieces. You will have to use some of the venue's preferred vendors. Make sure all last minute changes are documented in the contract so that you are covered in case things don't go as planned. Happy wedding planning!
Wow…what a Gem! First can I say that it is so refreshing to find a venue with both the look and feel of History. From the moment you arrive at the Hayes Mansion, you genuinely feel like you were a part of the past. The architecture of the building is amazing and the grounds are impeccable. You can tell that both the City of San Jose and the Hotel staff really care about preserving the charm of the facility. We recently toured the facility after a few “let downs” in the San Jose area. We have looked at every type of venue from Golf Clubs to Hotel Ballrooms, this far with no spark. I have been waiting for that “feeling” for a while and just when I thought it wasn’t going to happen…we stumbled upon the Hayes Mansion. I love this place! I love the look of the Mansion, I love the history of the mansion and I love the curiosity behind the mansion. There are plenty of guest rooms for all of my guests, making it both safe and convenient. The ballroom is huge and pretty much a blank slate which makes it ideal for a wedding because you are really able to customize the space with your vendors to make sure your theme is carried out throughout all event space. The most important thing to me was that the Catering Manager was a delight. People really don’t realize how important it is to like the person you will be working with the day of. Jo Ann has been at the Mansion for over three years, which comforts me. She is dynamic and humorous but a total straight shooter. Her personality and honesty makes her feel like part of the family rather than part of the staff. I have to say that the facility is quite capable of selling itself with its beauty, but when you add on top of that staff members who genuinely care about you and the success of your event….you know you’ve found a good thing and THE SPARK! I look forward to having my ceremony and reception at the Hayes Mansion in San Jose.
The Dolce Hayes was a wonderful place to get married at. We were so happy with the quality of services and how coordinated the whole event was. Our wedding planner was Jo Ann and she was amazing. She felt more like a long last friend than a wedding planner. She was amazing and took care of all of our needs. Our wedding was for 200+ guests and included an open bar. Not only were we extremely happy with everything, but so were our guests. My husband and I went back for our one year Anniversary and plan to return again. I would highly recommend the Dolce Hayes Mansion and Jo Ann. You will not regret it.
We had a fabulous wedding, and Hayes Mansion was a big part of that. We chose the venue because we felt it was both elegant and comfortable. Jo Ann Danna (venue coordinator) and many others worked professionally to make everything run smoothly. Everything was set up exactly as we had agreed. The hotel and restaurant staff service was seamless on the day of the wedding.
The food was delicious. We chose the $99/person package, which was quite elegant, even though it was the least expensive package. The cake and wedding night suite that come with the package are *very* high quality. (The ceremony venue is also included.) Margaret's French Bakery made us a beautiful, delicious cake. We spent our wedding night in the Palm Suite, a spacious, comfortable suite with, among other luxuries, a large tub.
Our reception was in the Silver Creek Dining Room. (We weren't going to spend enough to fulfill the minimum necessary for the Ballroom.) It was a little bit of a tight squeeze with 105 people and a dance floor big enough to dance on. (We couldn't fit a band, so we went with a DJ.)
We held our ceremony on the east lawn at 5:00 pm in late July. It was quite hot, and half of our guests were in the blazing sun at that time. The sun was in my eyes during the ceremony. I would recommend a 5:30 pm ceremony at that spot, instead.
There were a few snags along the way. When we first set up our appointment to tour the location a year before the wedding, the front desk staff was so uncoordinated, they couldn't find the venue coordinator. When Hayes sent us the contract, there were a few errors in it, and crucial pieces of information were missing. (It took 4 or 5 rounds to get them all corrected.)
Coordinating the hotel block was difficult. When we first approached Jo Ann in January about a block of 30 rooms, she told us not to worry about it for a few months. We waited until early April (3.5 months before the wedding) and asked again. Jo Ann told us to get in touch with Donna, the hotel block coordinator. Donna told us we were too late, and she only had 15 rooms left. Over the next few weeks, we were able to wrangle about 10 more rooms. By that time, though, our friends and family had found better deals at the same hotel through hotels.com. Fortunately, all of our guests who stayed at the Hayes Mansion seemed thoroughly please by their accommodations.
On the bright side, Jo Ann pushed to score us extra benefits. She arranged for us to use the Library as an air-conditioned place to gather the bride's side of the bridal party before the ceremony (while the groom's side was instructed to gather in the bar). We were then able to return to the library after the ceremony to sign the marriage license, get make-up touched up, drink cold water and eat hors d'oeuvres before heading outside again into the heat for more photos. Jo Ann also arranged for us to have late check-out from the hotel suite that we stayed in the night before our big day. We used that suite as the bridal prep area on the day of the wedding.
Our rooms were clean, room service worked very well, and the front desk staff (with one or two exceptions) gave us good service. All of the staff was very helpful on the day of, as well.
We were very happy that our guests could stay in the hotel, attend the ceremony, and join us for the reception without ever having to leave the lovely grounds. We were very happy with the Hayes Mansion and would recommend it to other couples.
