Substandard Coordination: The task you referenced involved managing the flow of hundreds of guests through three different doorways during your cocktail hour, while photos were being taken in the main room. This is exactly why we have sliding barn doors between these areas—to help control guest movement during such moments. Unfortunately, when you declined our coordinator’s recommendation to close the doors, it became difficult to manage the situation. Despite these challenges, our coordinator did everything possible within the parameters set, and we regret that this added to your stress during the event. 3. Audio Quality Issues with DJ: White Willow Meadows requires that DJs who are working at our venue for the first time conduct a site visit to ensure familiarity with our system. Your DJ, however, confirmed that they chose not to schedule a site visit and did not reach out to us at any point before the event. Additionally, the DJ used their own microphones and did not balance the inputs within our system, which is a step covered during our site visit process. For context, we hosted weddings on Friday, Saturday, and Sunday before your Monday wedding, and again on the following Friday, Saturday, and Sunday, all without any sound issues. The challenges you experienced were due to the DJ’s decision not to complete these critical steps. 4. Bartending Service: Our policy requires bartenders to be licensed, insured, and part of a reputable company to ensure responsible alcohol service. This policy is in place for the safety of all guests and to prevent over-serving, as well as to ensure that proper professional standards are met. We do not permit individuals who obtain a one-time license for a single event, as they may lack the experience and oversight necessary to manage alcohol responsibly. The choice of bartender was yours, and any issues with their service should be addressed directly with the company you selected. 5. Planning Process Troubles: We sincerely apologize for the double-booking during your initial tour, which was an isolated incident. Across the hundreds of tours we conduct, this is extremely rare. Since then, you had at least three formal planning meetings to review and confirm all aspects of your wedding, which is standard practice at WWM. Additionally, we always accommodate more meetings if requested by the couple, and in your case, we even met off-hours at our florist’s building to suit your availability. Payments can be made by phone, in person, or by check, and we structure them to reduce financial stress.
