We booked this venue for our October wedding back in April of this year and after we booked it we were told we would be contacted a month before our wedding to go over everything and to pay the rest of the fee. We called and emailed the coordi...nator days before we were supposed to pay and go over everything and never got an answer. At that point we tried to contact her multiple times and it was already around 2 weeks away from our wedding. My husband had to physically go to bluegrass distilleries twice, which is another property of the heartwoods. He asked why no one had tried to contact us and he was told that the coordinator was there and that they would get her to come speak to him, the person came back and told my husband that she was on break and was not able to speak to him, my husband then gave them a check for the rest of the fee and inquired about renting extra chairs and tables, he was told that she would contact us again, he left and at that point both me and my husband emailed her again and once again did not get an answer. He returned another day and was told that she was not there because she was on a trip, he was given her mobile phone number. She then contacted us less than 2 weeks before the wedding and set up a date for us to meet. We showed up and she didn’t even apologize for leaving us in the dark for so long. She spoke about sending us a layout of the venue where we had to specify how we wanted our ceremony seating set up, because she would get that set up for us. We sent it to her and she then emailed us and said that we need to be more specific about where we wanted the rest of the tables and chairs, we responded back. Morning of the wedding my husband and family went to set up everything and they said that when they arrived at the heartwood there was a complete mess from a party that had happened the night before. There were drinks and cups around the venue and people from the night before came back to get some things that they left. The ceremony seating was not set up so I’m not sure why she had us tell her how we wanted it when the venue was left a mess and we had to set everything up anyway. 2 days after our wedding we saw that our $500 deposit check was cashed. My husband was confused as to why that happened when we had made sure to throw all our trash away and mop up any spills, which is what we were told we had to do. Someone from the venue was there after our wedding and we asked if anything else had to be done and were assured that everything was good. We called the coordinator and asked why our check was cashed, she informed us that their cleaning crew said the venue was left a complete mess, which was not true, nothing was damaged and we cleaned everything up and took everything home, nothing was left behind. Not sure what they need $500 for if nothing was physically damaged. She told us that it was the owners decision to cash our deposit. We told her that it was odd that our deposit wasn’t given back when we cleaned up after ourselves and that we cleaned up from the party before our wedding. Garbage was everywhere inside the venue and outside the venue from that party before our wedding. Coordinator said the owner would be in contact with us, it has been 3 days past this and no one has reached out to us. We are very upset. And she also mentioned she would send us a statement for why we were charged and never sent us anything, so unprofessional.
