The Ivory Oaks is a gorgeous venue, but that is the only positive. Communicating with staff was a nightmare – they did not respond to phone calls/emails, the point of contact kept changing without notification, or the lines were too blurred be...tween venue staff and catering service staff.
Our major issues were centered around the RM Events management and the confusion of whether they spoke as the venue or RME. TIO Events Director was the only one who could approve outside caterers or we were required to use RME. RME was the only service staff vendor approved and owned by the Events Director. It was confusing and frustrating to know if staff were wearing their RME hat or TIO hat – often the person was dual-hatted.
RME determined the number of staff required based on the number of guests, providing set-up, clean-up, & food service. After we pushed back numerous times on the numbers required, they simply stopped communicating with us! Finally 3 days shy of the wedding, the RME owner said they were uncomfortable servicing our event if we did not agree to their numbers, so they gave us permission to hire another service catering company! We had to compromise and agree with their numbers.
RME told us repeatedly that they had the exclusive service contract and our staff could not provide these services. Also, that chairs/tables were removed for cleaning in between each event. This would have been ideal, as we needed cleared space to install draperies. We discussed this with both TIO & RME. However when we arrived, tables/chairs were still in place & had not been cleaned. Numerous spots on the floor & tables still had sticky food residue. We got permission to move tables/chairs since RME had not yet arrived – a huge irritant as we did not bring the staff to do this. Major confusion because TIO coordinator was acting as the supervisor for the RME service staff.
Our food caterer had to show the RME staff how to serve the food; luckily he was a guest. This was so frustrating! We were told the food servers were experienced; at $30/hour/individual, this was unacceptable.
Finally, the bar fees were harsh! Yes, we knew the fee was $6.50/adult/hour, whether they drank zero drinks or 20. As this was the only option if you wanted a bar, we had no other choice. TIO refused to adjust our final bar invoice when we asked about “no shows”. We had an unexpected number of guests not show, evidenced by the empty seats and head counts done by TIO staff. Their response was to compare it to asking for a reimbursement from the food caterer. However, the difference between the two is obvious – the food caterer still provided us with all the food that we paid for, TIO did not.
Overall, our experience at The Ivory Oak was unsatisfactory. The staff was subpar in communicating with us and each other. Kellye was the exception to this; once she took over the communication, things were much better. Although RME is not part of TIO, the two entities were so intertwined we often could not determine which entity we were dealing with. Additionally, as RME was the only service catering company allowed, we felt TIO was responsible for their actions. We would not and do not recommend this venue. Don’t be deceived by steep discounts offered – they catch up with you through fees for unexpected services (grounds manager), exorbitant bar fees, and outrageous service staff requirements. Working with the staff left a bitter aftertaste.
